Annotate On Any Device

Director Access allows your Directors to completely mark up their files as if they were using a piece of paper. No matter which device they use to access their files, they can highlight, use a pen tool, cross out and underline, leave pop up sticky notes, and much more! The annotations are saved to their ID's so that no matter what device they login to, they will be able to see their notes!

Voting / Approvals

The approval feature of Director Access allows users to approve items such as loan requests, minutes, policies, and procedures. The results of the voting are accessible by the administrator in a detailed report. Votes are automatically tallied and appear in numerical and percentage totals. If desired, the administrator can allow anonymous voting. A one-time system email reminder can also be generated.


Secure Messaging System

Each user on your Director Access site can send a secure, encrypted message to another user or a group of people. All messages remain on the site and can only be viewed by the people who are corresponding with each other. A flashing indicator will alert you when you have a new message. You can also monitor when a person has read a message you have sent them.

Unlimited Storage

Director Access does not have any storage limitations for you or your directors. So no matter how many files you upload to the site, they will remain there forever until they are deleted by the admin.


Full Archive

Go back in time and locate the material for any meeting by committee and date. This is a convenient way to retrieve information from past meetings including viewing the comments relating to that meeting. All information gets archived automatically.

Interactive Calendar + Email

Anytime the administrator adds or updates a calendar event, all directors for that committee will be alerted automatically via text message or email. The directors can choose to have these calendar events automatically synced into their iCal or outlook calendar.


PDF Conversion

The administrator has the ability to convert a Microsoft Office Word or Excel file to a PDF when uploading to the Meeting Room. Additional restrictions are offered that do not allow the user to print, edit or copy content from the document.

Audit Trail

Audit logs are available for the administrator to view. They show all actions that the users and administrator have performed on their Director Access site. An option is available to permanently remove the audit trail if your organization does not want actions to be tracked.


Polls

Need to get a quick opinion on a specific issue? You can post a question with a list of up to eight answers and have each user vote for their choice. The votes are tallied and also displayed as a percentage. Multiple questions can be stored on the site with one question active at the current time.

Surveys

Looking for comprehensive responses that you can quantify? You can build a custom survey which generates reports containing statistics such as question averages. Create sets of answers that can be stored and used for future surveys. An image can be added to each section of the survey for a reference.


Forums

Have discussions on a variety of topics by creating your own forums. You can start by creating your own Avatar. Then create a new thread, reply to an existing thread, edit or delete your responses. You can also perform a search on a word or phrase.

Private Notes

A committee member can leave a private note for themselves pertaining to a specific meeting. This is a place to store your comments or questions that you want to remember to discuss at the time of the meeting. It cannot be seen by other users. You also have the ability to print the note if you want a hardcopy to bring to the meeting.

Meeting Room Current

The Meeting Room will be customized with a list of your committees such as the Board of Directors, Audit, Executive, Technology, etc. Each committee will have links to the package and minutes. With just one click, a list of documents from the most recent meeting for a specific committee is retrieved. Committee members can receive email notifications with single-click access to the most recent documents for your upcoming committee meeting. In addition, automated emails can be sent to the committee members reminding them of an upcoming meeting.

You can upload a variety of file types including: Word documents, Excel spreadsheets, PDF's, PowerPoint presentations, images, text files, Access databases, HTML and MP3 files.

The list order can be rearranged without having to remove the documents.Additional restrictions can be applied for a PDF. Also, multiple PDF's can be merged to create one document.

Calendar of Events

We offer a calendar that users can scroll through and see events by month for any year. The events can be categorized by committee or by user. Each category is color-coded making it easy to identify. Each event can display the following information: start date and time, end date and time, location and description.

Calendar Updates

This admin feature in the calendar will allow you add a recurring meeting based on when the meeting occurs. For example, if your board meeting is the first Thursday of each month, you can repeat that event on the calendar for as many months as you'd like.




Calendar Event Link

A calendar event for a committee meeting can link directly to the documents that have been uploaded to the Meeting Room for that meeting date and committee.

Exporting Calendar Events

A user can export Calendar events as an iCalendar file. This file can be imported into Google Calendar, Outlook 2007 and Apple products such as iPad and iTouch.

Search

A user has the ability to search the content of the documents uploaded to the Meeting Room. The files that the user has permissions to view will display in descending sequence by date uploaded.




Comments

Committee members can leave comments or questions regarding documents they have read for an upcoming meeting. Each comment appears with the person's name, date and time. All members of that committee will be able to view the comment. It can be used as a way to communicate with committee members.

Deleting Comments

The administrator has the ability to delete all user comments at once for a specific meeting and committee. An additional feature can also be activated which allows users to delete their own comments.

Disable Saving

By converting a document using our built-in PDF conversion tool, you are able to restrict a user from saving that file to their local hard drive.




Email Message Alerts

Users will be alerted via email or text message that they have a new message awaiting them on Director Access. An active link within that email will take them directly to the login page.

Customized System-Generated Emails

A user can receive an email when new information has been uploaded to Director Access or when a comment has been added pertaining to that information. The email contains the Director Access logo and your company logo. The content of the message is customizable.

User Permissions

Permissions are given at the user level in order to control who can view or add information for each component of the site. For example, a user can be limited to only view the documents for the committee of which they are a member.




Internal Messages Attachment

You are able to add attachments to your secure, encrypted message that you send to other users.

Modifying User Information

A user can change their personal information in the Directory. This eliminates the need to go through the administrator.

User Expiration Date

The administrator can enter an expiration date for a user, which will automatically prevent them from logging into the site after that date.




Website Information

You can have links to any page on your organization's website or any external website.
